For any big event like the recently concluded 7th China International Cultural Industries Fair, there should always be a systematic method to be followed for moving out. May 16 is the last day for the ICIF. This is also the time to prepare the booths for withdrawal, and exhibitors should be ready to move out as well.
Moving out time will begin after the closing ceremonies on May 16, and will continue until the next day, May 17. Exhibitors with the Release Pass for Goods out of Exhibition Hall are permitted to leave with their exhibit products and equipment. The moving out procedure involves the responsibility of the persons for each exhibition. They should comply with the provisions set by the Organizing Committee Office in moving the exhibits out of the halls. Another part of the agreement is that the exhibitors shall not be allowed to move out from the halls until the duration of the fair is finished. The release pass will only be issued after the end of the fair.
The time for moving out will begin at 5:30 in the afternoon, after the closing ceremonies, and will continue until the next day from 8:30 in the morning until 5:30 in the afternoon. An Approval List for Exhibits Moving out of the Exhibition Hall must be presented in order to get the necessary articles out of the halls. This document must have the authorized signature of the site official. Otherwise, it will not be considered. Exhibitors shall have to assign personnel for each booth to watch over the articles in the exhibit to making sure that no items will be missing during and after the exhibition period. Their role is very important especially in the moving in and moving out process, since the list of items will be checked here.
Proper management of the exhibition involves the security of the booths and the exhibits, management of the articles, and security while promoting and expanding the knowledge of the participants. For any loss or damage that can occur during the exhibition period, the ICIF Company will not be held liable, as part of the contract and agreement. The exhibitors, participants, and personnel should be responsible enough to keep the exhibition in an orderly manner and avoid unnecessary incidents and illegal activities that can compromise the whole exhibition event.
The participants and personnel for each booth and exhibit should wear their respective badges at all times. This way, tracking and managing the booths will be easier for the officials and security personnel. The badges should not be lent to others and should not be abused by using it other than its intended purpose. For those who will not comply, the officials will take the necessary action for any violation incurred.
For delivery trucks and other vehicles, the necessary permits should be ready upon moving in and out. Permits for moving in the exhibit are different from the permits for moving out. It is also important that the specified exit routes be followed to ensure smooth traffic flow for all vehicles.
